Planning an event can be stressful and, at times, take the joy out of what should be an amazing day. To help make the process easier, we’ve put together a list of our top tips for a smooth and enjoyable experience.

These five tips are your surefire way to minimize stress and ensure your special day goes off without a hitch!

Tip #1 - Start Early and Plan Ahead

Begin your planning process as early as possible—ideally, 6-12 months before the event. This gives you ample time to research, compare rental companies, and secure the items you need. The earlier you book, the more options you'll have, and you can avoid last-minute scrambling. Remember that venues, caterers, and event rental companies book events months or more in advance and have limited capacity, so contact them sooner than later to secure your dates and your items before someone else does!

Tip #2 - Create Mood Boards and Gather Inspiration

Sharing your inspiration with your planner and rental consultants before the consultation can help streamline the process. By providing them with a clear vision, they can pre-select items for you such as place settings, decor, and other essentials, saving you the time and effort of sifting through an entire inventory. Pinterest and Instagram are great places to find inspiration and both apps allow you to save ideas to shareable folders.

Tip #3 - Create a Detailed Budget

Creating a budget is an essential rule for any successful event. The more detailed, the better. For example, setting a general budget of $300 for decor is a good start, but breaking it down into specifics—like $150 for flowers, $75 for candles, etc.—is even more effective. If there are specific things you want featured at your event such as draping or backdrops, carve these out in the budget so they are prioritized. A detailed budget not only helps you stay on track financially but also provides your event planner and rental consultant with a clear framework to develop creative ideas tailored to your event.

Tip #4 - Book a Consultation

Booking a consultation is one of the best ways to ensure your special day unfolds just as you envision. Speaking directly with your rental consultant allows for a more personalized approach, ensuring every detail of your event is thoughtfully considered and customized to your needs. If you've completed tips 1 through 3 already, then your consultation will be especially productive! You'll get a chance to get your hands on the rental items that match your inspiration and see how all the items look when they come together.

Tip #5 - Be Prepared with Key Information

Before your consultation, make sure you have all the essential details on hand. The basics you’ll need to know include the event location, estimated guest count, and the date. From there, expect questions about your theme, color palette, and any inspiration you’ve gathered. Being prepared with this information will help ensure a smoother and more productive meeting.

Conclusion

Hosting an event is an opportunity to create unforgettable memories, exactly as you envision. However, it can often come with its share of stress. These tips are designed to help minimize that stress, allowing you to focus on what matters most—celebrating your special occasion with confidence and ease.
